Career Opportunity: Secretary & Finance Assistant (Part-time, Hybrid)


About the Job

The Europe-Korea Marine and Ocean Engineers Association (EKMOA) is a network that connects Korean and European scientific and technological communities, supporting knowledge exchange and collaboration in the shipbuilding, ocean, and marine sectors. Through partnerships with industry, universities, research institutes, funding bodies, and government organisations across Korea, Europe, and the UK, EKMOA helps strengthen international cooperation and advance innovation in marine and ocean engineering.


As Secretary, you will play a key role in supporting EKMOA’s day-to-day operations. The role includes administrative coordination, membership support, internal and external communications, financial reporting, and helping ensure the smooth delivery of the Association’s activities.

This position is ideal for someone with strong organisational and administrative skills, who can manage a range of operational responsibilities while maintaining accuracy, efficiency, and compliance in basic financial processes.


Main Activities/Responsibilities

• Oversee general administrative duties to support EKMOA’s smooth day-to-day operations.

• Maintain records, documents, schedules, and internal communications

• Assist with bookkeeping, expense tracking, invoice processing, and preparation of simple financial reports.

• Prepare annual financial summaries for EKMOA leadership and relevant partners.

• Ensure financial documentation is accurate, organised, and audit-ready.

• Handle membership registrations, enquiries, renewals, and communication with members.

• Update and maintain membership databases and documentation.

• Schedule EKMOA meetings, prepare agendas, organise logistics, and manage meeting minutes and follow-up actions.

• Support communication between EKMOA, partners, and sponsors.

• Contribute to maintaining positive and timely interactions with members and collaborators.

• Provide general support across EKMOA’s programmes, activities, and administrative tasks.

• Assist in the preparation of project documentation, internal reports, and communication materials as required.

• Maintain awareness of administrative and financial best practices and adapt to evolving organisational needs.


Qualifications

  • Strong organizational, administrative, and Communication skills

  • Experience in Finance, Accounting, and Invoicing processes

  • Proficiency in Analytical Skills and problem-solving

  • Attention to detail and the ability to manage multiple tasks efficiently

  • Proficiency in relevant software tools such as Microsoft Office and accounting systems

  • Ability to work collaboratively within a team and independently as needed

  • Knowledge of the marine or engineering industry would be an advantage

  • Relevant certification or a degree in business administration, finance, or a related field is preferred


Person Specification

Essential

  • Experience coordinating meetings or small events

  • Strong organisational and multitasking skills

  • Ability to work independently and within small teams

  • Competency with spreadsheets, financial tracking tools, and administrative software

  • Excellent communication and interpersonal skills / Attention to detail and accuracy / Proactive and supportive attitude towards collaborative work 


Desirable

  • Good honours degree in a relevant discipline (or equivalent professional experience)

  • Relevant administrative or finance-related training/certification

  • Experience in administration or office management

  • Experience in basic financial reporting, bookkeeping, or expense management

  • Experience supporting membership-based organisations

Probation

Where applicable, the successful applicant will be required to serve a 3-month probationary period.

Pension

No pension scheme provided due to the annual salary under £10,000.
